Disney World Group Trip Checklist: Who Books What, and When
The short version: a big group's Disney trip runs on a few dates you can't miss: dining at 60 days, Lightning Lane at 7 days (Disney Resort hotel guests) or 3 days (everyone else), and a night-before check of crews and meeting spots. Name one organizer, link everyone in the app early, and decide crews before booking day. Below is the checklist in date order, with what each step means for a group, plus a worked example. For the day-in-the-park side, see How to plan Disney World with a big group.

Months before: decide the shape of the trip
- Pick one organizer for bookings, and one backup who can see everything.
- Collect everyone's age and height. Heights decide which rides split the group. Our grandparents and little kids guide covers the gentle-ride side.
- Choose a park per day and the pace (how early, how long a midday break).
- Hotel choice matters for planning: Disney Resort hotels and some select nearby hotels get 30-minute Early Theme Park Entry every day of the stay (Disney says this continues through 2027), and can book Lightning Lane 7 days before the stay instead of 3.
- Tickets: Disney says park reservations are no longer required for date-based tickets; other ticket types may still need them. Check each person's ticket type.
As soon as tickets are bought: link everyone
- Get everyone onto the organizer's Family & Friends list in My Disney Experience, with their tickets attached. Disney's own advice for booking Lightning Lane as a group is to do this first, so one person can buy and book for everyone.
- Have each household send the organizer their top 3 rides.

60 days before: dining
- Disney opens dining reservations 60 days before arrival, and hotel guests can book their whole stay (up to 10 nights) that day.
- Book table-service meals for the full group on that first morning; big tables are the hardest to find.
- Budget for the 18% gratuity Disney adds automatically for parties of 6 or more.
- Lunch on park days is usually best as quick service: it's also your midday regroup, and nobody is tied to a seating time.
2–3 weeks before: crews and picks
- Decide crews per park day (who's in the thrill crew, who's in the little crew) and the two regroup points per day. See how to split up and meet back up.
- Decide Lightning Lane per day: worth it, optional or skip, and which picks each crew holds. See Multi Pass picks for mixed-age groups and whether it's worth it for a group.
- Note which big rides offer Rider Switch for anyone under the height limit.
7 or 3 days before: Lightning Lane booking
- Disney Resort and select hotel guests: up to 7 days before the stay. Everyone else: 3 days before the park visit; with date-based tickets, 3 days before the first ticket day, for every day of the trip.
- Sales open at 7:00 AM ET, in the My Disney Experience app only. You can book several days in one sitting.
- Buy for the whole party with the shared picks, then change picks or windows for members who need different ones (subject to availability).
- Single Pass rides (like Rise of the Resistance or TRON) are separate; up to 2 per person per day.
The night before each park day
- Re-check the park's hours and any closures in the app.
- Send everyone the plan: meeting time at the gate, crews, regroup places and times, and the fallback if someone's late.
- Charge phones; each crew needs one with the app.
On the day
- Meet at the gate together, then split for the morning if the plan says so.
- Use Rider Switch for single rides someone can't do: tell the Cast Member at the entrance with the whole group present.
- Regroup at lunch, take the midday break, regroup again at dinner.
Worked example: the (made-up) Smith crew's dates
Our sample family of six (ages 70, 68, 41, 40, 9 and 4) is staying at a Disney Resort hotel for park days Mar 9–12, 2027. Their plan's key moments:
Jan 8, 2027 – table-service dining reservations open (60 days out) for the whole stay.
Mar 2, 2027, 7:00 AM ET – Lightning Lane booking opens for all four days (resort guests: 7 days before check-in). They book Multi Pass for Hollywood Studios, Magic Kingdom and EPCOT, and leave Animal Kingdom as optional.
Each night before – check hours and closures; send the crews and regroup times.
Mar 9, 8:15 – meet at the Hollywood Studios gate; split at 8:30 for Early Entry; regroup on Sunset Boulevard at 11:45.
With six people, every table-service meal gets the automatic 18% gratuity, so they keep sit-down meals to dinners and use quick service for lunch regroups. See the full sample plan.

FAQ
When should a large group make Disney World dining reservations?
Dining reservations open 60 days before arrival, and Disney Resort hotel guests can book their whole stay (up to 10 nights) that day. Book large tables on the first morning.
Is there an automatic gratuity for large groups at Disney World restaurants?
Yes. Disney's dining plan guide says an 18% gratuity is automatically added for parties of 6 or more.
When can our group book Lightning Lane?
Disney Resort and select hotel guests can buy up to 7 days before their stay; other guests 3 days before their park visit (date-based tickets: 3 days before the first ticket day, for every day). Sales open at 7:00 AM Eastern Time in the My Disney Experience app.
How can one person book for the whole group?
Link everyone on one Family & Friends list in My Disney Experience with valid admission. The organizer can then buy Lightning Lane and make plans for everyone who is eligible.
